Tenant Verification in Hyderabad: The 7-Step Process

Why tenant selection is everything

A wrong tenant doesn't just miss rent payments. They can damage your property, sublease without permission, cause disputes with neighbours, and โ€” in the worst cases โ€” require 12โ€“18 months of legal proceedings to remove. For an NRI owner who cannot be physically present, a problematic tenant is a serious crisis.

The good news: a thorough verification process eliminates 95% of problem tenants before they ever get the keys. Here is exactly what that process looks like.

The 7-step tenant verification process

Step 1

Application and initial screening

Every applicant fills out a formal rental application covering: full name, employer, designation, monthly income, number of occupants, reason for moving, and prior rental history. We screen for basic eligibility before investing time in deeper checks. Applicants who refuse the application or claim "special circumstances" are immediately disqualified.

Step 2

Document collection

We collect: Aadhaar card (mandatory), PAN card, current employer ID card, latest 3 months' salary slips, 3 months' bank statements (to verify salary credits), and a recent utility bill for their current address. Self-employed applicants provide GST registration, CA-certified income statement, and 6 months of bank statements.

Step 3

Employment verification

We contact the employer's HR department directly โ€” not the number provided by the applicant โ€” to verify: employment status, designation, salary range, and tenure. For MNC employees, we cross-reference LinkedIn. Any discrepancy between documents and HR confirmation is an automatic disqualification.

Step 4

CIBIL credit check

We run a CIBIL check on the primary applicant. A score above 700 is good; above 750 is excellent. Scores below 650 are concerning and require additional scrutiny. More important than the score is the report detail: we look for loan defaults, bounced cheques, or credit card delinquencies โ€” these are stronger predictors of rental payment behaviour than the aggregate score.

Step 5

Previous landlord references

Two independent references from prior landlords are mandatory. We call them directly โ€” not the numbers given by the applicant. We ask specifically: Did they pay rent on time? Did they maintain the property? Did they vacate as agreed? Would you rent to them again? A hesitant "yes" is treated as a soft "no."

Step 6

In-person or video meeting

Before shortlisting, every applicant has an in-person or video meeting with a Verta team member. This serves two purposes: to verify the person matches their documents, and to assess demeanour, stability, and intent. We present the top 2โ€“3 candidates to you with a written recommendation โ€” you make the final decision.

Step 7

Police verification

Mandatory under Telangana tenancy rules for leases above 11 months. The tenant's Aadhaar and contact details are submitted to the nearest police station. The station issues a verification acknowledgement. We facilitate this process and maintain the record in your property file.
